Copy the transcript or AI-generated call summary into your favorite LLM (like ChatGPT, Claude, or Gemini), then add this prompt:

Create three parts:
CUSTOMER ROLE
Summarize what the customer needs, what they have already told the dealership, and any complication the employee needs to handle.
EMPLOYEE ROLE
Explain what the employee knows when they enter the conversation and what they need to accomplish. Do not tell them exactly what to say.
COACHING GUIDE
Give the manager five things to watch for during the role-play, three questions to discuss afterward, and a short example of how a strong version of the interaction could have gone.

Service Scheduling Still Has a Handoff Problem
Dealership service scheduling got better in 2026. The industry's average score rose 7 points, website scheduling improved by 12, and technical website failures dropped from 9% to 5%.

The harder part starts when the appointment is not just, "Tuesday at 10 works."
A customer has a funky warning light. They want to know whether a recall can be handled at the same visit. They need a loaner. The noise only happens at highway speed when the gas meter is below a quarter-tank. Suddenly the scheduling bot has no idea what to do.
Roughly one in three attempted AI-to-human transfers failed, sending customers to voicemail, disconnecting them, or leaving them on hold. The typical failure happened about 90 seconds into the interaction, after the customer had already invested time trying to get help.
For a dealership, that is a customer who still needs service and now has a reason to look somewhere else.
Overall, Volkswagen was the highest ranked brand in Pied Piper’s 2026 Service Scheduling Effectiveness Auto Industry Study, followed by Volvo, and a four-way tie between Acura, BMW, Mazda, and Nissan.

And the Shop Down the Street Is Answering
Independent service centers beat dealerships on several phone measures. Customers reached an advisor in 38 seconds versus 66 seconds at the average dealership.
The earliest available appointment was 1.3 days away versus 2.9 days. And independents delivered a top-rated service call 39% of the time, compared with 27% for dealerships.
That is a very familiar fixed ops fight: convenience.
Steal the Playbook
Mystery-shop your own store. Call with an oil change, a strange noise, a warranty question, and something that requires a human.
Follow the transfer. See whether the customer, vehicle, concern, and requested time make it to the next person.
Hunt the dead ends. Voicemail, broken calendars, forced VIN fields, repeated questions, and endless hold all deserve attention.
Track completed appointments. An AI answering the phone is useful. A customer landing on the schedule is the part that pays.
